As the firm’s Administrative Assistant, you will be the owner of the front-end client experience.
The successful candidate will be warm, friendly, extremely customer service-oriented, and passionate about developing a positive rapport with our clients.
This person will present a professional demeanor and have strong interpersonal abilities with clients, colleagues, opposing counsels, potential clients, and outside vendors.
The ideal candidate will be a team player and have a positive, energetic, can-do attitude with excellent problem-solving and critical-thinking skills.
This candidate will have excellent verbal and written communication skills and have strong organizational skills, excellent phone etiquette, and a meticulously detail-oriented approach to their work.
This position is based on-site and requires in-person attendance.
Compensation:
$20 - $25 hourly
Responsibilities:
Manage front-end client experience by warmly greeting clients and visitors to the office with a friendly and professional demeanor.
Triage phone calls and efficiently answer client questions.
Strong ability to de-escalate emotionally charged conversations and set client expectations.
Enter daily time records for proper client billing.
Process office correspondence, scan upload to the client file, and disseminate to team and client with an update.
Monitoring client portal responding to client inquiries and sharing client docs through the portal.
Conduct initial lead intake, set consults with attorneys, and update lead dashboard for marketing purposes.
Ensure office space is kept clean and organized.
Qualifications:
Required Qualifications:
Associate degree, or higher preferred.
Excellent organizational skills and time management skills.
Excellent verbal and written communication skills.
Applicant must be able to type 50+ wpm.
Ability to multitask and prioritize in a fast-paced environment.
Proficient in Microsoft Outlook, Word, Teams, and Sharepoint.
Knowledgeable in Clio management and comfortable learning new technology.
Excellent problem-solving and critical-thinking skills.
A team player is eager to contribute to a collaborative and accountable team.
Ability to lift 25 lbs.
Preferred Qualifications:
Bilingual – Spanish or Chinese.
1-2 years of experience working in a family law firm
