RESEARCH AND GRANT ADMINISTRATOR

REPORTS TO : Director, Travis Research Institute
LOCATION : On Campus, Pasadena, CA
POSITION DESCRIPTION:
The TRI Research and Grant Administrator will provide administrative support regarding research and grant activities at Travis Research Institute and School of Psychology & Marriage and Family Therapy.
They will be responsible for all the paperwork, financial tracking and administrative duties associated with grants and TRI programs.
They will work closely with faculty, staff, and students, and must possess excellent attention to detail, organizational, writing, and interpersonal skills, as well as standard administrative competencies.
GENERAL DUTIES Grant Administration within SoPMFT.
(40%) Maintain knowledge of and adhere to Fuller policies and procedures regarding grant management Coordinate and monitor follow-up communication with funding bodies throughout the award process (before, during, and after), as needed Help complete paperwork for grant submissions Maintain knowledge of and execute awarded grants such as obtaining the necessary signatures and completing required paperwork Collaborate with the Office of Finance and Accounting (OFA) to establish fund-orgs for new grants Review and process financial paperwork (e.
g.
, grant expense reimbursements, invoices, honorariums), track the budgeting/accounting of grants, and create monthly expense reports for faculty; this includes both internal TRI and external grants Create and submit annual financial and expense reports to grant agencies Track and approve RA hours; work with HR to address any employee concerns Assist TRI director and related offices (e.
g.
, CAO) Maintain and store documentation pertaining to grants and their funding.
Continuing Education (CE) Certification Program Administration.
(10%) Compile and complete the CE Sponsorship renewal application and the yearly status reports to the American Psychological Association (APA-CESA) and the CAMFT-CEPA Assist in the Review of CE applications, monitoring of program implementation, and overall responsibility for the execution of the program (including application development for new forms of CE delivery: online classes, for example) Oversee the posting of CE programs on different media, working with staff to maintain the Fuller CE database, and serve on the SOP Alumni Committee as CE consultant Maintain records, issue CE certificates, and evaluate SOP-sponsored programs, including CE matters related to the quarterly research and clinical integration symposium and the annual integration symposium.
Human Subjects Review Committee (HSRC) within Fuller Seminary.
(35%) Screen exemptions and expedited review and supervise the complete review process of incoming research proposals within Fuller Seminary (including SoPMFT and SMT) Train HSRC board members, staff, faculty, and student investigators in one-on-one and group settings Maintain instructional material related to HSR and IRBNet on Canvas and within IRBNet Communicate and guide faculty and students on issues related to human subjects requirements and ethical standards Develop and update policy and procedure development, liaison with Fuller’s legal department, maintain institutional compliance with federal and state laws, maintain the HSRC federal-wide assurance and act when reporting is necessary, execute cooperative agreements with other IRBs, etc.
Develop, update and implement the online application system (IRBNet) for the HSRC proposals and liaison with IRBNet support As needed, participate in professional development through participation in IRB-related conferences, webinars, and other relevant events Develop agendas for IRB meetings in consultation with the respective committee chairs; serve as a non-voting member on both, providing documentation and ensuring federal compliance in policies and procedures for each.
General TRI Administration.
(15%) Provide administrative support to faculty, staff and students regarding TRI activities (e.
g.
, internal faculty grants, research fellowships, conference travel, research colloquia) Assist with the tracking and accounting of the TRI annual budget Assist in the overall maintenance of the TRI website and track web analytics Ensure that the website and social media content are up to date with the most recent TRI activities, student and faculty research and grant activities Assist with communications, including quarterly TRI newsletters and communication Maintain annual software renewal and manage its distribution Additional Duties Miscellaneous tasks as assigned Qualifications Master’s degree or equivalent Two to three years of administrative experience (preferably related to research or grant administration) Budget management experience Highly proficient with computer skills (MS Office, Excel, Web, Google Apps) Excellent attention to details Ability to learn new web platforms quickly, and/or being comfortable with technology and software management.
Strong organizational and project management skills, including the ability to manage multiple projects and materials simultaneously, with pressing deadlines, and maintaining and accessing office files and documents Excellent verbal, written, professional and interpersonal communication skills Ability to work independently, prioritize tasks and projects, and schedule ongoing work appropriately Ability to work closely and communicate effectively with faculty, staff, students, and peers in a multicultural environment with focus on diversity, equity and inclusion Ability to work with a diverse remote team and interact with team members via virtual meeting environments.
Ability to work well under pressure and can manage pressing requests and situations Ability to hold and manage confidential information Additional Remarks: Must be willing to abide by Fuller Community Standards This is an in-person position working out of the Pasadena, CA campus Pay Scale: Salary rate the seminary expects to pay: $28-$29 per hour USD Fuller Theological Seminary is an Equal Employment Opportunity/Affirmative Action employer.
