Position Overview:
As an Administrative Assistant specializing in Accounts Payable (AP) and Accounts Receivable (AR), you will play a crucial role in supporting the financial operations of our industrial manufacturing office.
You will work closely with the finance team to ensure accurate and timely processing of invoices, payments, and receipts, contributing to the overall efficiency of our financial processes.
Key Responsibilities:
Accounts Payable:
· Process vendor invoices, ensuring accuracy and compliance with company policies.
· Verify and reconcile purchase orders, delivery receipts, and invoices.
· Prepare and process electronic payments, including checks and wire transfers.
· Maintain organized records of all AP transactions for auditing purposes.
Accounts Receivable:
· Generate and send customer invoices in a timely manner.
· Monitor and follow up on outstanding customer balances.
· Process incoming payments, recording transactions accurately.
· Reconcile AR transactions and maintain up-to-date customer accounts.
· General Administrative Support:
· Assist in the preparation of financial reports and documents.
· Coordinate with internal departments to gather necessary information.
· Respond to vendor and customer inquiries in a professional and timely manner.
· Maintain confidentiality and security of financial information.
Data Entry and Recordkeeping:
· Input financial data into accounting software and databases.
· Ensure the accuracy and completeness of financial records.
· Maintain well-organized and easily accessible electronic and physical files.
Qualifications:
Education:
· High school diploma required; additional coursework in accounting or finance is a plus.
Experience:
· Proven experience in administrative roles, with a focus on AP/AR functions.
· Familiarity with accounting software (e.
g.
, QuickBooks, SAP) is preferred.
Skills:
· Strong attention to detail and accuracy in data entry.
· Excellent organizational and time-management skills.
· Proficient in Microsoft Office Suite (Excel, Word, Outlook).
· Effective communication skills, both verbal and written.
